Business Affairs Assistant
Sonia Friedman Productions (SFP) is a West End and Broadway production company responsible for some of the most successful theatre productions around the world.
Since 1990, SFP has developed, initiated, and produced over 185 new productions and together the company has won 58 Olivier Awards, 34 Tonys and 3 BAFTAs.In 2019, Sonia Friedman CBE was awarded ‘Producer of the Year’ at the Stage Awards for a record-breaking fourth time. In 2018, Friedman was also featured in TIME 100, a list of Time Magazine’s 100 Most Influential People in the World. In 2017, she took the number one spot in ‘The Stage 100’, becoming the first number one in the history of the compilation not to own or operate West End theatres and the first solo woman for almost 20 years.
We are looking for an exceptional individual with flawless administrative and organisational skills for the position of Business Affairs Assistant, based at our extremely busy production office in Covent Garden. The Business Affairs team is responsible for all major contractual negotiations, including rights agreements, play commissions, senior creative team agreements and financial contracts with investors and co-producers, and has an overview of the business management of the company. The ideal candidate will be able to demonstrate discretion, diplomacy and a keen eye for detail. They will be able to manage a large and diverse workload with the ability to prioritise tasks and projects. Previous experience as an administrative assistant and/or a background in contracts or business affairs is desired and the candidate will probably already have at least one year’s experience of either production office, talent agency, or administrative work gained in a creative environment. They will have a “can-do” attitude, be numerate and highly competent in Excel and Word; they will be friendly, willing and have a passion for theatre. Please note that this is not an entry level role.
Key Responsibilities
- Communicate directly and on behalf of the Business Affairs team with staff, production personnel, co-producers, investors and others, on matters related to the Business Affairs team’s work.
- Proactively deal with internal and external matters on behalf of the Business Affairs team, ensuring any action required is clearly communicated.
- Create and analyse financial, royalty and salary illustrations, as required.
- Assist the Business Affairs team in monitoring the status of a range of creative and commercial projects, ensuring deadlines are met and activities are on track. Create and manage the contract logging database.
- In conjunction with the Business Affairs team, ensure that investor records and database are regularly updated, logging investor and co-producer interest in forthcoming productions.
- In conjunction with the Business Affairs team, ensure that rights database is regularly updated, logging licence requests and forthcoming productions.
- Issue licences, letters of agreement and other forms of contracts, as necessary.
- Liaise with and supply information to investors, as required. Draft investment agreements and other investment paperwork, as necessary.
- Assist the Business Affairs team with diary management, scheduling meetings and making travel arrangements, where necessary. Reconcile business credit card and expense receipts.
- Prepare paperwork for meetings and minute meetings, as required, ensuring that minutes are both accurate and distributed promptly.
- Maintain an appropriate level of confidentiality in handling the work of the department, in particular ensuring that confidential documents are appropriately and securely filed.
- In conjunction with the Business Affairs team, keep paper and electronic filing up to date.
- Read scripts in production with an eye on copyright issues.
- Keep abreast of current union agreements, trade agreements and statutory legislation which may impact on SFP’s producing activity.
- Undertake general administrative and research assistance as necessary. Working with the Office Manager, Office Assistant and Production Assistants to ensure the smooth running of the SFP office.
- Be present at SFP performances, events and meeting as required (which may include some evening and weekend work).
Employment Terms
- Hours: Usually 10am–7pm Monday–Friday.
- Contract: Full time, permanent.
